Infor LN & Baan Tip: The ABC’s & 123’s of Serialized Items

A serialized item is a physical occurrence of a standard item that is given a unique lifetime serial number. This enables tracking of the individual item throughout its lifetime, for example, through the design, production, testing, installation, and maintenance phases. A serialized item can consist of other serialized components.

In Service, a serialized item can be a customer-specific or owner-specific installation. Installation groups are a group of installations/serialized items such as photocopiers, computers, air conditioners, forklifts, lathe machines, and even aircraft.

A serialized item is identified by both the item code and serial number. You can set up the mask used to generate the serial numbers so the serial number includes some fields of the item data, such as the item group and the manufacturer.

In a multi-company structure, the companies can share the serialized item data. All the service departments in the various companies can refer to the same serialized items.

The serialized item can originate from a sales order or a project. The details of a serialized item indicate their origin, for example, by using specific sets of serial numbers for items that originate from sales orders and from projects. Serialized items can also originate from an as-built structure or directly from the production bill of material in Manufacturing.

Did you know that you can set up one-time vendors in LX? One Time Vendor (1,A): Specify Y to indicate that this vendor is a one-time vendor. Otherwise, could you specify N. The system removes a one-time vendor's information from the Vendor Master file after all transactions are reconciled. If this vendor already exists as a one-time vendor, you can specify N to change the vendor to a regular vendor.

Ensuring access to historical logistical and financial transaction information for your employees is crucial. However, before proceeding with archiving or deletion, it's essential to evaluate the necessity of retaining this data. Baan and Infor LN (ERP LN) offer standard archiving sessions within major modules that typically handle a significant volume of historical transactions. These sessions are designed to transfer historical data to an archive company before deleting it from the operational company.

When I try to enter a 3-way match invoice with zero cost items, I get an error 'Must have value/cost entry.

Resolution
​ACP500 requires a positive value to create a 'C' transaction when entering a 3-way match invoice. If you are receiving inventory items for free (no charge) and have a purchase order for it and need to include the quantity in inventory, you should first receive your items through PUR550 using something like a 'U' transaction. Then, you would enter a 'C' transaction with the quantity and zero cost through PUR550. This will change the status of the line in the HPO file to '3', fully received and costed. Once this is completed, you will be able to enter an invoice for your zero-cost item through ACP500 without getting the error message 'Must have value/cost entry.

The cycle counting sub-system in Inventory Management determines which items are selected for cycle counting based on the following criteria:

  1. Cycle Counts/Year: The system calculates the cycle count frequency for each item using the "Cycle Counts/Year" field in the Item Master file (optional).

  2. Last Cycle Count Date: If you use locations, this date is found in the Location Inventory file (ILI), and if you don't, it's in the Warehouse Inventory file (IWI).

Infor LN & Baan Tip: Is it possible to upload accounts receivable invoices into LN using Excel?

Yes, this is possible, by following the steps below:

1. Maintain a batch

2. Maintain an invoice headerexport it, add an additional invoice header to the Excel file, and import it

3. Maintain an invoice line for the first invoice, export it, add additional invoice lines to the Excel file and import it
 

Below the above steps are described in detail.

1a. Open the transactions (tfgld1101m000) session and create a batch.

1b. Insert a transaction type, used for creating sales invoices, like ACR, and open it.

2a. The Sales Invoices (tfacr1110s000) session starts. Maintain the invoice header and save it. For example sales invoice ACR 4497.

2b. In the Actions menu select Export and Import -> Advanced Export (fields: All tabs).

2c. In the excel file created during previous step, add the headers for the invoices to be uploaded. Notice if for the transaction type the Documents in Fixed Sequence checkbox is ticked in the Transaction Types (tfgld0511m000) session, the document number for the not-yet existing invoices to be imported in LN should be equal to the default series for this transaction type. Otherwise, so if the Documents in Fixed Sequence checkbox is not ticked, the desired document numbers can be maintained in the excel file.

2d. In the Sales Invoices (tfacr1110s000) session in the Actions menu select Export and Import -> Settings, and make sure the Import Only in This View checkbox is NOT ticked. Then select in the Actions menu select Export and Import -> Import, select the excel file as saved in the prior step, and import it. Afterwards the invoice headers should be visible in the Sales Invoices (tfacr1110s000) session.

3a. Navigate to the first invoice, select Lines. The Transactions (tfgld1102m300) session opens. Maintain at least 1 line and save it.

3b. Open the line created in the prior step. Notice the detailed version of the Transactions (tfgld1102m300) session opens.

3c. In the Actions menu select Export and Import -> Advanced Export (fields: All tabs).

3d. In the excel file created during previous step, add lines for the header invoice numbers as available in the Sales Invoices (tfacr1110s000) session (as per step 2d).

3e. In the detailed version of the Transactions (tfgld1102m300) session in the Actions menu select Export and Import -> Import, select the excel file as saved in the prior step, and import it.
