Infor LN & Baan Tips & Tricks for OPERATIONS: Absorbing Cost Items into Projects

Kathy Barthelt 0 18208 Article rating: 5.0

Operations: To absorb the cost of cost items into specific projects, you'll need to handle them as customized items. However, cost items cannot directly be defined as customized items. Customized items must be physical, either manufactured or purchased.

That said, it's still possible to absorb cost items into a project, although indirectly. Here's how:

  1. Set Up Ledger Account: First, create a new ledger account in session tfgld0508m000 and set the type to "PCS" (project) in the operations management integrations. This account will be used for matching and approving purchase orders for cost items.

  2. Create and Activate Projects: Ensure that the necessary projects are created and set to active status.

  3. Purchasing Cost Items...

The Far-Reaching Impact of Disconnected Data: From Operations to the Executive Suite

Kathy Barthelt 0 10342 Article rating: 5.0

The Impact of Disconnected Data Across Your Organization

Operations Impact:

  • The warehouse manager’s spreadsheet tracking inventory levels and supplier shipments is disconnected from your ERP.
  • Dealer Portal Email orders need to be manually entered into the system.

Finance Impact:

  • Budgeting data is maintained in isolated spreadsheets, unlinked to quotes or sales figures in your ERP.
  • Open purchase orders and invoices need manual matching and approval, creating inefficiencies.

Technology Impact:

  • A large number of reports must be generated outside the ERP for teams to stay "up to date."
  • Valuable time is spent exporting ERP data for analysis in external data cubes.

Executive Impact:

  • Compiling an accurate picture of inventory and financial health is a struggle when data comes from multiple sources.
  • Lack of visibility to inventory shortages results in losing customers due to stockouts or delays.

Disconnected data refers to information stored separately from your main business system, such as your ERP. While this data holds value, the lack of integration creates challenges across your entire organization—often more than expected...

Infor LX/BPCS Tips & Tricks for TECHNOLOGY: Role-Based Security

George Moroses 0 14490 Article rating: 5.0

Role-Based Security introduces Role type profiles and allows combining the use of Role profiles with the traditional LX User type security profile functionality. The new Role type profile can be defined to allow or deny access to All Products, Attention Key, Products, Programs, and Transaction Effects. Facility, Warehouse, and Company securities are still defined solely by the User profile settings and are not affected by the assignment of a Role. Where applicable, the Role authority is displayed alongside the User authority on the security profile maintenance screens making it easy to see where there are differences in authority between the User and the assigned Roles.

When Users are assigned to Roles, security access in LX becomes a combination of authorities granted or denied by the Role, plus any User Exceptions. User Exceptions override authorities set by the Roles. A User can also be assigned to more than one Role.

OPERATIONS:
Shelf Life Days and Retest Days
This feature provides the ability to enter information in the shelf life days and retest days fields for non-QMS lot controlled items, even when the QMS product is installed. The purpose of this enhancement is to allow the user to enter information for non-QMS lot controlled items even when QMS is activated in Parameters Generation, SYS800D.

In previous versions, when QMS was activated, the Shelf Life Days and Retest Days fields in Facility Planning Maintenance (MRP140) and Item Master Maintenance (INV100) were not maintainable for non-QMS lot controlled items.

Inventory Transaction Post to G/L by Cost Type
This enhancement provides a method to post material, labor, and overhead values on inventory postings to the general ledger to meet financial reporting requirements. The solution provides an optional further breakdown of cost by cost bucket using the new G/L Cost Type.

Item Facility Master has a new attribute to define the override inspection days lead time CICP.ICINSD.

  • When an item facility has a defined override inspection days lead time, that value will be used instead of the system parameter inspection days lead time.

This enhancement improved the subfile utilized in MRP320D Master Schedule Detail Inquiry -SCR001 by expanding the subfile with data rather than clearing the subfile as user pages. This change provides full support for the WebTop 4.8 Grid decorator.

This enhancement updated the approach used to populate the subfile to allow a deployed Webtop Grid to function correctly. There is no visible or user-impacted change to the way the program functions.

This enhancement provides improved functionality and full support of a Webtop grid applied to the subfile.

Finance: Propagating Unused Sub-Accounts

You can use this procedure to find accounts that have a valid sub-accounts group but no corresponding general ledger chart account records. This action creates the general ledger chart account record for the account and sub-account combination. This action does not add the accounts to charts.

  1. Select Financials > Global Ledger > Setup > Finance Enterprise Group > Maintenance.
  2. Open the finance enterprise group and click the Sub Account tab.
  3. Select Actions > Propagate Unused Sub Accounts.
  4. Select the finance enterprise group and click OK.

Sub-accounts are added according to group if they have been defined on the accounts. The resulting account can be added to the charts.

Operations: Best Practices for Purchase Order Archiving / Deleting

Here are some best practices to follow if you are considering archiving or deleting purchase order data:

  • If Financials is implemented, we recommend that you do not delete order data in a fiscal year that has not yet been fully closed. This is because the GRINYA process uses information that would be deleted by this action. For best results, check whether the logistical balance for non-invoiced receipts matches the balance of the GRINYA accounts for the periods up to which you want to delete purchase order data.
  • When a purchase order is canceled, you can only delete the purchase order and the related tables. If only a purchase order line is canceled, the line can be deleted and archived.
  • Purchase contracts must be archived before purchase orders can be archived.

You cannot delete a purchase order (line) if:

  • The linked warehouse order is closed but cannot be removed.
  • The purchase order is linked to a PCS project that is not yet archived. When the PCS project is archived, the purchase data is also archived and you can delete the purchase order.
  • A consignment replenishment order is not yet consumed completely.
  • The invoice is yet to be completely matched and approved.
  • The invoice amount is not yet inserted as turnover history.
  • The sales order or service order that's linked to the purchase order line, and for which an internal invoice must be sent from the purchas office to the sales office or service office, is not yet invoiced. In this case, you cannot delete the purchase order line before the sales order or service order is invoiced.

Technology: Using Table Boosters to Speed Up Sessions & Processes

To increase the speed of sessions and processes slowed by large amounts of data, you can use table boosters. These speed up access to specific database tables by loading the table, or a specified part of it, into memory. Table boosters are defined in the Table Boosters (tcmcs0598m000) session.

Tables

Table boosters are implemented for tables. By default, table boosters are not active. When you access a table, LN builds a list of tables for which you can activate the boosters in the Table Boosters (tcmcs0598m000) session.

Note: You can only activate table boosters for tables that have been accessed at least once.

For more information, refer to the LN - Performance, Tracing, and Tuning Guide (U9357).
